A Milestone-Driven, Founder-in-the-Loop Build Process
When Vibras’s founder first reached out, we didn’t start with a proposal template. We ran a structured intake to understand what a contractor business needs from a tool that has to serve both contractors and homeowners. Below is the sequence we ran.

01 DISCOVERY
Mapped the full dual-user ecosystem. Clarified ambiguities on auth, subscription plans, coupon logic, and integrations.

02 WIREFRAMING
Produced low-fidelity wireframes for all 8+ milestones: auth, org management, proposal templates,
pipelines, customer management, drips, tasks, and team management.

03 UI DESIGN
High-fidelity Figma designs across Dashboard, Mobile App, CRM pages, HomeOwner AI, PDF layouts.
Full responsive spec delivered.

04 FRONTEND DEV

WHAT WE BUILT
Two Platforms and a Mobile App Powered by One Shared Pipeline Engine
Vibras ships as three connected experiences: contractor web CRM, homeowner portal, and contractor mobile apps. Below is the product, screen by screen.
Authentication & Registration
The entry point to every contractor practice. Full registration flow capturing business name, industry, employee count, and referral source. Email verification sends the user to login after confirmation.

Three-Tier Dashboard System
Each user tier sees a different world. The Super Admin tracks all organisations. The Organisation Admin gets a live view of jobs in the next 1 to 90 days. The Contractor sees only their own calendar and tasks.

Sales Pipeline & Jobs Pipeline
Kanban-style dual pipeline: Sales Pipeline moves leads from Cold to Won/Lost. Jobs Pipeline tracks Project Accepted to Complete. Each stage change fires the configured email/SMS sequence automatically.

Fully Customisable Proposals
Proposal builder with background image selection, line item library, and per-job customer metadata stamped automatically. The homeowner receives a portal link to accept, reject, or compare proposals side-by-side.

Appointment Requests & Job Scheduling
Two scheduling paths: admin/salesperson-initiated and customer-initiated from the homeowner portal. Custom questions are admin-configurable. Job scheduling assigns crew, dates, and sends SMS confirmation.

Automated Sequences & Notification Engine
Admin-built sequences per lead stage with configurable sort order, email/SMS type, send timing, and per-notification active toggle. If a lead changes stage mid-sequence, all pending notifications for the old stage are discarded.

Task Management: Three Entry Points
Tasks are created from three separate surfaces: global nav, contact details page, and inside pipeline card detail views. All sync to the same underlying task record. Copy-from-template functionality lets team members clone tasks.

Team Management & Subscription Billing
CRM Admins add team members through a create form that triggers an Authorize.Net subscription payment. The system prorates the first charge. From the second month, costs consolidate into a single invoice.

Invoice Module & Payment Gateway
Invoices are created from completed jobs and include line items, deposits taken, and amount due. Authorize.Net handles one-time and recurring payments. Primary and secondary card management with auto-fallback email alerts.

Android & iOS Mobile App
Native mobile builds for contractors in the field. Feature parity with the web CRM on core flows: job calendar, task management, client communication, and invoice viewing. Push notifications via AWS Pinpoint.

Engineering a Construction-Grade CRM With Zero Off-the-Shelf Shortcuts
Vibras is a business-critical tool. Contractors bill from it, homeowners pay through it. Six engineering problems shaped the build:
Stage-Aware Sequence Engine
A state machine that tracks sequence execution per lead and discards old notifications instantly on pipeline stage changes.
Dual Appointment Scheduling
Unified appointment model serving both the auth-free customer portal and internal CRM, sharing notification logic and lead-stage updates.
Prorated Recurring Billing
Custom Authorize.Net ARB logic calculates mid-month prorations for new team members and consolidates month-end invoices.
Per-Member Permission System
Permissions stored as a flat bitfield per user, allowing org admins to granularly override role defaults for any team member.
AI Proposal Comparison
GenAI extraction layer that pulls unstructured proposal data into a structured decision matrix for the homeowner portal.
Unified Task Synchronization
A single service layer managing tasks across global nav, contacts, and pipeline cards without duplicating state or cluttering views.

A Production-Ready Construction CRM, Homeowner Portal, and Mobile App
Piggy was delivered as a full platform: client apps on iOS and Android, an admin app for advisors on iOS and Android, and matching desktop web experiences for both. Every surface ships from the same React Native Web codebase, talks to the same Node.js and MongoDB backend, and deploys through AWS CDK.

Payment Architecture
Authorize.Net CIM stores tokenised card data PCI-DSS compliantly. AFDS rules run on every transaction. Recurring subscriptions use Authorize.Net ARB with a custom proration engine.
AI Proposal Comparison
GenAI layer extracts structured comparison data (price, materials, warranty, duration, company profile) from unstructured proposal content. Rendered as a decision matrix.
AWS Notification Stack
Email delivery via Amazon SES with tracking pixel. Sequences run on a scheduled Lambda trigger that evaluates stage, active flag, and sequence override before dispatching.
Role & Permission System
Four role tiers with default permission sets. Permissions stored as a flat bitfield per user, overridable at individual level. Middleware validates the bitfield on every endpoint.
QuickBooks Integration
OAuth 2.0 connection to QuickBooks Online. Invoice sync on creation and payment. Error handling for disconnected tokens with admin notification and re-auth prompt.
Mobile App (Android & iOS)
React Native codebase sharing business logic with the web frontend. Contractor-scoped feature set: calendar, tasks, jobs, invoices. Push notifications via AWS Pinpoint.
PDF & Proposal Rendering
Proposals render server-side to PDF using a templated layout engine. Background images, line items, and metadata are composed at render time. Email attaches PDF, portal streams inline.
QA & Testing Strategy
Milestone-level sanity testing gate after backend + frontend integration. Automated unit and functional tests on API endpoints. Responsive testing at 320px, 768px, 1024px, 1440px.
